Colleagues,

Happy New Year to all, and here’s to another year of using data from the Data Warehouse to inform business decisions!

NEW REPORTS RELEASED DURING 2019

Over the last year, we’ve released 13 new EZ Access reports:

Vacant Position
This report will allow you to review position data and determine if any maintenance is necessary.  Keep in mind that this report will consider a position vacant only if there is no active job incumbent associated with the Position Number.  This means multiple headcount positions will not appear on this report if there is at least one active incumbent.

Recurring Additional Pay
This report is designed to provide a holistic department view of employees who are set up for additional flat rate pay that is paid for a continuous time period based on its setup parameters (i.e., pay this additional flat amount until this Earnings End Date or Goal Amount is reached).  Note: this report is not for One-Time Pay transactions.

Position Roster
This report shows all department positions (filled and unfilled)  with any related incumbent(s).

UCPath Staffing
The Staffing Report provides departments information to allow them to balance their Payroll Costs as reflected in the UCPath Budget Distribution Page (BDP) with their Permanent Budget.  This activity supports the Office of the President requirement to submit a balanced staffing list.

Accruals Balance by Employee
This report will provide Accrual Balances by Employee. This will include Vacation, Sick, Compensation & Paid Time-off accruals balance, takes & earned during a period of time.

Local Deduction Enrollment by Employee (for Central Office use only)
This report provides Local deduction enrollment by employee.

Personal/Tax Info by Employee (for Central Office use only)
This report provides employee identification information, eligibility to work, visa statuses and tax set up information.

Historical Pay by Employee
This report provides itemized earnings, deductions, taxes, and absence “takes” -- in short, the information that UCPath used to calculate an employee’s net paycheck.  It includes both on cycle and off cycle checks. Note: this report is not meant to provide distribution of expenses.

Positions Expired Funding
This report lists positions associated with active employees that have expired end dates as of a selected date.  Departments can use this report to evaluate the need to remove or change the funding end date on the Funding Entry Page in UCPath.

Pay Processing Conflicts
This report shows employees who have conflicting FLSA Statuses (Exempt and Nonexempt) and/or Pay Cycles (Biweekly and Monthly). The report denotes the conflict type (FLSA Status or Pay Cycle) so the appropriate action can be taken.

Positions Missing Funding
This report lists the positions assigned to active employees that are missing funding (account & fund) as of today.   Departments can use this report to evaluate the need to setup an account & fund on the Funding Entry Page in UCPath.

NEW FILTERS AVAILABLE

We’ve also added new filter options to several reports in order to make selection criteria more consistent across reports:

Payroll Expense Inquiry - Filter by Object Code, Employee ID, Direct Retro (SCT)
Payroll by Sub & Obj - Filter by LAFS, Object Code, Direct Retro (SCT), Employee ID
Payroll Inquiry by Employee - Filter by Ledger Date

COMING SOON

We are currently doing beta testing of two new reports under UCPath Employee menu titled “Employees on Extended Leave” and “FAU Substitutions”.  The “Employees on Extended Leave” report allows departments to review key extended leave information for all department employees.  The “FAU Substitutions” report shows employee payroll data that the UCPath system redirected to substitute account and funds due to chartfield validation errors so that departments can move employee data from the substitute chartfields to appropriate chartfields using the Salary Cost Transfer function.
