Dear Colleagues,

It has been a while since we reached out to you with news about the Data Warehouse.  We have been working on modernizing the Data Warehouse by adopting new data modelling tools, improving our processes for extracting and loading data from source systems, and establishing a new database environment. In addition to these foundational improvements that are more internal in nature, we’re pleased to announce that we will begin offering selected reports in Power BI starting in mid-November.  We will send further details as we get closer to the go-live date, but we wanted to share summary information now.
 

POWER BI

UCSB has acquired a campus wide license for Power BI, a reporting and visualization tool. In order to access Power BI, you will need to use a browser and authenticate using Single-Sign On. 

Our goal is to transition to Power BI in order to replace EZ Access and Hyperion in phases. In this first phase, we will deliver a set of standard reports based on selected reports from EZ Access. 

 

NEW REPORTS AVAILABLE IN POWER BI

Here is the description of the first round of Data Warehouse reports available in Power BI:

Jobs by Group

This report displays over 30 job attributes by Job Department Code grouped by job category, e.g., Ladder Faculty, Career, etc. Filters are provided for many of the attributes e.g., union code, paygroup, affiliation, FLSA.

Funding

This report displays funding entries by fund source.

Accruals Balance by Employee

This report will provide Accrual Balances by Employee. This will include Vacation, Sick, Compensation & Paid Time-off accruals balance, takes & earned during a period of time.

Position Report

This report combines functionality from existing position-related reports in EZ Access. 

  • “Position Roster” - This report shows all department positions (filled and unfilled)  with any related incumbent(s).
  • “Positions with Expired Funding” - This report lists positions associated with active employees that have expired end dates as of a selected date.  Departments can use this report to evaluate the need to remove or change the funding end date on the Funding Entry Page in UCPath.
  • “Positions Missing Funding” - This report lists the positions assigned to active employees that are missing funding (account & fund) as of today.   Departments can use this report to evaluate the need to set up an account & fund on the Funding Entry Page in UCPath.

Deduction Report

This report allows BFS and campus departments to manage local deductions.  BFS uses the report to initiate a financial transaction that moves the deducted amount out of a liability account on the general ledger.  Departments that manage local deductions  use the report to reconcile between deductions submitted vs. deductions taken. 

 

NEXT STEPS

In order to access these new reports in Power BI, users will need to set up multi-factor authentication (MFA).  If you’d like to get started with this setup, visit the following page: MFA @ UCSB.  We will provide additional information on how to request access and announce dates and times for an introduction to the new reports in an upcoming email.
